Privacy Policy

DesignerFlow is a software service built for interior design studios. We provide project workflow tools covering rooms, sourcing, suppliers, procurement, documents, renderings, quote preparation, and related collaboration inside a studio workspace.

This Privacy Policy explains what personal data we collect, why we collect it, how we use it, who we share it with, and what rights you may have under applicable law.

Depending on how you use DesignerFlow, we may collect and process:

• account details such as name, email address, workspace name, billing email, phone number, and profile information;
• workspace and project data you upload or create, including files, images, renderings, documents, supplier information, item lists, notes, and comments;
• team, client, and vendor invitation details added by a workspace owner or authorized teammate;
• payment and subscription information processed through Stripe, such as customer IDs, subscription IDs, billing status, payment method brand, and last four digits;
• technical and security data such as authentication events, error logs, browser information, and activity needed to protect the service and troubleshoot issues.

We use personal data to:

• create and maintain user accounts and workspaces;
• provide access to projects, files, suppliers, and collaboration features;
• process applications, contact requests, support messages, and onboarding communication;
• operate subscription billing, payment collection, trial management, and customer support;
• secure the service, prevent abuse, diagnose technical problems, and improve product reliability;
• meet legal, accounting, tax, and regulatory obligations.

Where applicable under GDPR and similar laws, we process data because: it is necessary to perform our contract with you; it is necessary for our legitimate interests in operating, securing, and improving the service; it is necessary to comply with legal obligations; or you have given consent where consent is required.

Payments and subscription billing are handled through Stripe. We do not store full card numbers in DesignerFlow. Stripe may collect and process payment data directly in accordance with its own terms and privacy policy.

Inside DesignerFlow we may store billing-related metadata such as customer IDs, subscription IDs, billing status, plan name, payment method brand, and payment method last four digits in order to manage subscription access and support requests.

We use third-party providers to operate DesignerFlow, including:

• Supabase for authentication, database, and storage infrastructure;
• Vercel for hosting and deployment infrastructure;
• Stripe for payment processing, subscriptions, and billing infrastructure.

These providers process data on our behalf or as independent processors where relevant to the services they provide.

Workspace owners and authorized teammates may invite or enter details relating to designers, clients, contractors, collaborators, and vendors. If you are added to a workspace, your data is controlled in the first instance by the workspace owner or studio operating that workspace, and we process that data in order to provide the service.

Users may upload files and media into the service, including drawings, specifications, renderings, product references, supplier assets, and other project materials. You are responsible for ensuring you have the right to upload and use that content.

We process uploaded content to store it, display it inside the service, make it available to authorized users, and operate related workspace features.

We retain personal data for as long as necessary to provide the service, maintain active accounts and workspace records, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the type of data and whether an account is active, suspended, or closed.

Your data may be processed in countries outside your country of residence depending on the infrastructure and processors we use. Where required, we rely on appropriate safeguards such as standard contractual clauses or equivalent legal mechanisms.

Depending on applicable law, you may have rights to access, correct, delete, restrict, object to, or port certain personal data. You may also have the right to withdraw consent where consent is the legal basis.

We use technical and organizational measures designed to protect account and workspace data. No system can guarantee absolute security, and you are responsible for protecting your own credentials and access to your devices.

We may update this Privacy Policy from time to time. The effective date at the top of this page will show the latest version. Where required, we will take additional steps to notify users of material changes.
